Telephone Communications Basics

Last month we looked at some of the basics of email communications. This month we are going to do the same with an even older form of communications – the telephone. We have all been using the phone since the time we could first push the buttons to talk to our childhood friends. And we have been doing it ever since, which makes it easy to take things for granted and make mistakes that could lead to miscommunications and apparent rudeness. Here are a few things to keep in mind when using the phone. They may seem very basic and obvious, but it is exactly these kind of things that we often overlook.

• Even in this day of Caller ID, it is important to introduce yourself when you call someone. The person you are calling may not remember your number or may not have programed your name into his phone. Or he may be too preoccupied to even look at the phone display. When you phone someone and unless the other person recognizes your "Hello" and calls you by your name, introduce yourself. Sometimes the telephone lines are a bit garbled and the other person may not recognize a familiar voice and will be in the awkward position of asking who is calling when you have taken it for granted that your voice is familiar and known.

• Always begin a call by asking if it is a good time to talk –nothing is as irritating as a caller who keeps on talking when the person being called is busy with something else. If it's not a good time, ask when you can call again. If the matter you want to discuss is urgent, say so politely.

• Keep your calls precise and to the point. After the business is concluded, if the other person wants to chat for a while and you are free, go ahead. Otherwise, politely end the call.

• If the person you are calling is not available, and you can leave a message, make it short and clear so the person taking it will not misunderstand. Leave your phone number with the message – it saves the other party from having to look up your number when he wants to call you back.

• If you have missed a call and receive a message, respond to it as soon as possible even if the message does not say it is urgent. The caller may not appreciate the significance of the information he wants to give to you but it may be very important to you.

• Remember there are no "position of power" in a phone call. Even if you are phoning a supplier as a customer, do not talk down to the other person. A supplier, or anyone else you speak to politely and considerately, will be ready to go the extra mile to help you out when you need it.
